1. About the KDA Members Portal

The KDA Members Portal (the “Portal”), operating at https://kda.or.ke/portal/members/, is owned and operated by the Kenya Dental Association (“KDA”, “we”, “us”), a professional association registered in the Republic of Kenya, with offices at Fifth Avenue, Ngong Road, Nairobi.

The Portal is the official digital platform for KDA members and provides:

  • Membership renewal and annual fees
  • Continuing Professional Development (CPD) records and certificates
  • Activities, events, and conference registrations
  • Mentorship Hub (mentor & mentee tools)
  • Member services marketplace and association store
  • Complaints and support channels
  • Profile and account management

2. Acceptance of these Terms

By signing in to the Portal, you (the “Member”) agree to be bound by these Terms of Service, the KDA Constitution, and any code of professional conduct adopted by KDA from time to time. If you do not agree, please do not use the Portal.

3. Eligibility

The Portal is restricted to KDA officials, branch members in good standing, and other persons explicitly authorised by KDA (including students, dental practitioners, and approved invitees). Access is granted by KDA and may be revoked at any time for any breach of these Terms or of KDA membership rules.

4. Your Account

  • You are responsible for keeping your sign-in credentials (email, PIN, OTP codes) confidential. Sign-ins from your account are presumed to be made by you.
  • You must keep your contact details (email, phone, postal address), professional information (PPB number, KPA number, branch, sub-group), and other profile fields accurate and up to date.
  • The Portal is for your personal use as a Member. Sharing credentials, transferring an account, or using the Portal on behalf of another member is prohibited.
  • KDA may suspend or terminate your access to the Portal in case of fraud, breach of these Terms, breach of KDA's rules of professional conduct, or non-payment of membership fees.

5. Membership & Annual Fees

  • Membership fees, annual subscriptions, and any additional payable items are set by KDA and shown on the Portal at the time of payment.
  • Until a membership fee is paid and confirmed, the corresponding membership year is not active and certain Portal features (CPD claims, certificates, member-only resources) may be restricted.
  • Fees once paid are not refundable except as expressly provided by KDA in writing.

6. CPD Records & Certificates

  • CPD points awarded through the Portal reflect activities you completed and self-reported within KDA's CPD framework. KDA may audit these records and adjust them in case of error or fraud.
  • CPD certificates downloaded from the Portal are issued by KDA. You may share them with regulators (e.g. the Kenya Medical Practitioners and Dentists Council) but the underlying record of truth lives in the KDA database.

7. Mentorship Hub

  • The Mentorship Hub matches mentors and mentees based on profile information you supply. You consent to your mentorship-related profile (specialities, interests, languages, availability, certifications) being shown to potential matches and to KDA admins.
  • Mentorship sessions and exchanges are conducted by you and your match; KDA facilitates the connection but is not a party to any advice given.

8. Payments

  • Payments through the Portal are processed by iPay, a third-party payment service provider. Supported methods include M-Pesa, Airtel Money, debit and credit cards, and direct bank transfer.
  • KDA does not receive, store, or have access to your card numbers, PINs, or banking credentials. Those details are handled entirely by iPay and the originating financial institution.
  • Where the Portal is used to purchase items from the KDA store or member services marketplace, all amounts are quoted in Kenyan Shillings (KES) unless explicitly stated.

9. Member Conduct

You agree not to:

  • Use the Portal for any unlawful purpose or in breach of KDA's rules of professional conduct;
  • Submit false, misleading, or stolen identity, payment, or contact information;
  • Post defamatory, harassing, discriminatory, or otherwise unlawful content in complaints, feedback, mentorship messages, or any other Portal field;
  • Attempt to gain unauthorised access to any account or part of the Portal, or interfere with its operation through automated means.

10. Privacy & Data Protection

We process the personal and professional data you provide in accordance with the Kenya Data Protection Act, 2019 for the following purposes:

  • Operating your account, processing membership renewals, and recording your CPD;
  • Facilitating mentorship matches, event registrations, and member services;
  • Communicating Portal activity, OTP codes, and KDA announcements;
  • Sharing data with the Kenya Medical Practitioners and Dentists Council (KMPDC), the Pharmacy and Poisons Board (PPB), and other statutory regulators where required by law or your professional licensing;
  • Complying with our tax, accounting, and legal obligations.

We do not sell your personal data. You have the right to access, correct, and (subject to legal and professional retention requirements) delete your data — contact the KDA secretariat to exercise these rights.

11. Limitation of Liability

The Portal is provided “as is”. To the maximum extent permitted by Kenyan law, KDA's total liability to you for any claim arising out of or relating to the Portal is limited to the membership fees paid by you in the twelve (12) months preceding the claim.

KDA is not liable for indirect, incidental, or consequential losses, or for failures of third-party providers (iPay, telecommunications networks, video-conferencing services used for mentorship or events) that are outside our reasonable control.

Nothing in these Terms excludes or limits liability that cannot be excluded or limited by Kenyan law.

12. Changes to These Terms

We may update these Terms from time to time. The “Effective” date at the top of this page indicates when the current version took effect. Continued use of the Portal after changes are posted constitutes acceptance of the updated Terms. Material changes will also be communicated by email to your registered address.

13. Governing Law & Disputes

These Terms are governed by the laws of the Republic of Kenya. Any dispute arising out of or relating to these Terms or the Portal shall first be addressed in good faith between you and the KDA secretariat. Unresolved disputes shall be submitted to the exclusive jurisdiction of the courts of Nairobi, Kenya.

KDA's legal counsel should review and approve the final language — in particular sections covering: liability cap (currently 12 months of fees); regulator data sharing; the link to the KDA Constitution and Code of Conduct; and refund / suspension policy — before this page is treated as authoritative.
